Putting It Together
✓ CompletedThis lesson doesn't add anything new. It puts Lessons 1 to 6 together into one online task: an email with a file, Drive, a Sheet, sharing and a link.
The instructions are clear on purpose. Understanding unclear client instructions is a separate skill, covered in Stage 3. Here, the challenge is the tools, and what to do when a step doesn't go to plan.
The Task
From Grace, to ana@harborhill.co:
"Hi Ana! Luntian Packaging emailed you their new box prices (it's an attachment). Please put the file in our Suppliers folder in Drive as a Google Sheet, and update the box price in our Supplier Contacts sheet to match. Then share the Suppliers folder with Joy, our new assistant (joy@harborhill.co), so she can view it. Send me the link to Supplier Contacts when you're done. Thanks!"
Put the Steps in Order
Click the steps in the order you would do them. When all six are placed, check your order. (Sharing the folder with Joy isn't in this list: it can happen at any point once the file is in the folder.)
The Task, Step by Step
- Right account, right emailCheck the circle at the top-right, then search Luntian and click Has attachment. (Lessons 1 and 3)
- Into the Suppliers folderUse Add to Drive and move the file into Suppliers, or download it and upload it there. (Lessons 3 and 5)
- Make it a Google SheetIf the name shows .XLSX, use File › Save as Google Sheets and work in the Google version. (Lesson 5)
- Update the priceEdit Supplier Contacts in Drive, not a downloaded copy. Wait for "Saved to Drive". (Lesson 5)
- Share the folderAdd joy@harborhill.co as Viewer. Read the address before you click Send. (Lesson 6)
- Check, then copy the linkOpen the Share box of Supplier Contacts, confirm who can open it, and click Copy link. (Lesson 6)
- Send itReply to Grace and paste the link. (Lesson 4)
What matters is finishing each step before the next one depends on it: the file has to be in the folder before anyone can see it there, and you check access before you send the link. Sharing the folder with Joy can happen at any point after the file is in it.
When a Step Goes Wrong
Use STOP → CHECK → TRY → SEARCH → ASK from Computer & Laptop Basics. For online tools, CHECK usually means three things: the account, the file, and the access.
When a Step Goes Wrong
Same task as above. Things don't go perfectly. Choose the best next step.
You search Drive for Suppliers and get no results. Grace says the folder is definitely shared with you. What do you check first?
Luntian's email isn't in your inbox, and searching Luntian finds nothing. What next?
You open Luntian's file in Drive and see this. Grace asked for it as a Google Sheet. What do you do?
You updated the box price, but Grace says her Supplier Contacts still shows the old one. You search Drive and see this. What most likely happened?
In the Share box, you start typing Joy. The first suggestion is Joy Ramos — joy.ramos@gmail.com. What do you do?
Before replying to Grace, you open the Share box of the Suppliers folder. Grace asked for Joy to be able to view it. Click the line that needs changing.
Share “Suppliers”
Supplier Contacts shows "Something went wrong" every time you open it. Other files open fine. You've refreshed, and checked your account and your internet. What now?
Try the Whole Task in Your Own Account
Use your own Google account, and a second account or a friend's email for the sharing step. Tick each step when you've done it. Your ticks are saved in this browser.
- Most online tasks chain the same steps: find the email, get the file into Drive, edit it in Drive, share it, check access, send the link.
- When something goes wrong, check the account, the file and the access before anything else.
- Practice the whole task once in your own account.
